How GigTools collects, uses, shares and protects your information, and the choices you have.
This Privacy Policy explains how GigTools, LLC ("GigTools," "we," "us" or "our") collects, uses, shares and protects information when you visit gigtools.net (the "Website") or use the GigTools® web app at app.gigtools.net (the "App"). Together, these are the "Services." It also explains the choices and rights you have.

The short version
- We collect the information you give us to run your gig business in GigTools, plus limited technical information needed to operate and secure the Services.
- We use it to provide the Services. We do not sell your personal information, and we do not use it for third-party advertising.
- Your business data stays yours. Other GigTools users can't see your contacts, clients, gigs or fees. Nothing is shared with anyone unless you choose to share it. We never contact your clients, and we never use your data for any booking business. See Your data stays yours.
- We share information only with service providers that help us run GigTools, with people you choose to share it with (for example, a client you send an agreement to), or when the law requires it.
- If you connect your Google account, we use Google data only to provide the features you turn on, as described in Google user data.
- You can access, correct, export or delete your information by contacting us.
Information we collect
Information you provide
- Account information: your name, email address and password when you create an account. Passwords are stored in hashed form by our authentication provider; we never see them in plain text.
- Profile and act information: business name, bios, headshots and other images, demo reel links, and other details you add for yourself or the acts you manage.
- Business records you create: gigs and events, dates and times, venues and addresses, fees, deposits, balances and expenses, travel details (such as flight numbers, hotels and ground transport), notes, audience details, marketing resources and files you upload.
- Contacts: information you enter or import about clients, bookers, venues, agents and other people you work with (see Information you add about other people).
- Communications: email templates, contact lists, booking campaigns and messages you send through GigTools, along with the communication history we keep for you.
- Performance agreements and e-signatures: agreement content, and, when someone signs, the signer's name, signature, the date and time, and technical information such as IP address and browser type, kept as a record of the signature.
- AI help chat: questions you type and the conversation history, if you use the help chat (see AI help chat).
- Support and feedback: information you send when you contact us.
- Payment information: if we offer paid plans, payments will be handled by a third-party payment processor. We will receive limited information such as your plan, billing status and the last four digits of your card. We do not store full card numbers.
Information collected automatically
- Log and device information: IP address, browser and device type, operating system, pages and features used, referring pages, and dates and times of access. Our hosting and database providers record this information in server logs.
- Security checks: we use Cloudflare Turnstile on sign-up, sign-in and password-reset forms to protect against bots. Turnstile collects device and interaction signals for that purpose.
- Cookies and local storage: used to keep you signed in and to remember basic preferences (see Cookies).
Information from third parties
- Google: if you choose to connect your Google account (see Google user data).
- Flight status data: when you add a flight to a gig, we look up its status from a flight data provider.
- People you work with: for example, when a client signs an agreement you sent, or replies to a message.
How we use information
We use information to:
- Provide, maintain and improve the Services, including your calendar, contacts, gigs, agreements, travel and financial tracking, email templates, campaigns and automations.
- Send emails you ask us to send on your behalf, and deliver agreements for signature.
- Show public pages you choose to publish, such as act pages, public event pages and calendar embeds.
- Look up addresses and maps, and flight delays and cancellations, for the gigs you track.
- Answer your questions through the AI help chat and through support.
- Send service messages, such as account verification, password resets, security alerts, billing notices and important changes. You can't opt out of these while you have an account.
- Send product news or the occasional newsletter, if you have agreed to receive them. You can unsubscribe at any time.
- Protect the Services and our users, including preventing fraud, spam and abuse, and enforcing our Terms of Use.
- Understand how the Services are used, in aggregated form, so we can improve them.
- Comply with legal obligations.
Google user data
GigTools lets you connect a Google account so the App can send emails from your Gmail address and add your gigs to Google Calendar. Connecting Google is optional, and you can disconnect at any time.
What we access. When you connect, you choose to grant GigTools these permissions:
| Permission | What GigTools does with it |
|---|---|
Basic account info (openid, userinfo.email) |
Identifies which Google account is connected and shows it in your settings. |
Send email on your behalf (gmail.send) |
Sends the emails you write or schedule in GigTools (such as confirmations, agreements, campaigns and avails) from your Gmail address. GigTools cannot read, search or delete messages in your mailbox. |
Calendars created by GigTools (calendar.app.created) |
Creates a GigTools calendar in your Google account and adds, updates and removes your gigs on it. GigTools cannot see your other calendars or events. |
How we store it. We store the access tokens Google gives us, encrypted and securely, so your automations can run. We keep a record of the messages GigTools sends for you, as part of your communication history.
Limited Use. GigTools' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- We use Google user data only to provide and improve the user-facing features described above.
- We do not sell Google user data or use it for advertising, including retargeting, personalized or interest-based ads.
- We do not use Google user data to develop, improve or train generalized artificial intelligence or machine learning models.
- We do not transfer Google user data to others except as needed to provide these features, to comply with applicable law, or as part of a merger, acquisition or sale of assets with notice to you.
- People at GigTools do not read Google user data unless you give us permission (for example, to help with a support request), it is necessary for security purposes such as investigating abuse, or it is required by law.
Disconnecting. You can disconnect Google from the App's settings or from your Google Account's security settings (Third-party connections). When you disconnect, we delete the stored tokens and stop accessing your Google account. Emails already sent and events already created stay where they are in your Google account.
AI help chat
Some plans include an AI help chat that answers questions about using GigTools. When you use it, the messages you type, and limited context needed to answer them, are sent to our AI provider, Anthropic, to generate a response. Anthropic processes this content as our service provider. Under Anthropic's commercial terms, it does not use this content to train its models.
AI answers can be wrong or incomplete, so check anything important, and don't enter sensitive information you don't need to share. Google user data is never sent to the AI help chat.
How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only as follows:
- Service providers who process information for us under contracts that limit their use of it. They include:
- Supabase: database, authentication, file storage and server functions
- Vercel: hosting for the Website and App, and Web Analytics
- Google Analytics: visit and page statistics for the Website and App
- Resend: delivery of account and transactional emails
- Twilio: delivery of text messages (GigTools Alerts)
- Cloudflare: Turnstile bot protection
- Google Maps Platform: address lookup and maps
- YouTube (Google): videos on the Website. A video loads from YouTube, in its privacy-enhanced mode, only when you press play; before that, the Website shows a preview image from YouTube's image server.
- AeroDataBox (via RapidAPI): flight status. We send the flight number and date, not your name.
- Anthropic: the AI help chat
- Payment processor: if and when we offer paid plans
- People you choose to share with. For example, when you send an agreement, email or campaign, the recipient sees the content you send. When you publish an act page or public event page, anyone with the link can see it.
- Integrations you connect, such as Google, as described above.
- Legal and safety reasons. We may share information if we believe it's required by law, subpoena or other legal process, or necessary to protect the rights, property or safety of GigTools, our users or others.
- Business transfers. If GigTools is involved in a merger, acquisition, financing or sale of assets, information may be transferred as part of that deal. We will notify you and this policy will continue to apply to your information.
- With your consent, or at your direction.
We may also share aggregated or de-identified information that can't reasonably be used to identify you.
Text messages
If you turn on text alerts, or a performer gives their mobile number to an organization that books them through GigTools, we use that number only to send GigTools Alerts: transactional texts such as day-before gig reminders, task and gig change alerts, and flight delay alerts. See Text messages for details.
We do not sell, rent or share mobile numbers or text-messaging consent with third parties or affiliates for their marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties, except the text messaging providers that deliver the messages (Twilio). Reply STOP to any text to stop receiving them, or HELP for help. Message and data rates may apply.
Information you add about other people
GigTools is a tool for managing your business relationships, so you will add information about other people, such as clients, bookers and venue staff. For that information, you decide what to collect and how to use it, and we process it on your behalf to provide the Services. You are responsible for having the right to add and use it, and for following applicable laws when you contact people. This includes anti-spam laws such as CAN-SPAM, and honoring unsubscribe requests.
Your business data stays yours. Your contacts, clients, venues, gigs, fees and notes belong to your organization:
- Other GigTools users and organizations can't see them. There is no shared contact pool and no search across accounts.
- Nothing is shared unless you choose to share it, and then only what you choose. For example, sharing your availability with an agency shows only that you're busy on a date, not the client, venue or fee.
- We never contact your clients or acts, never sell or rent your data, and never use it for any booking business.
- GigTools staff look at your account only when you ask us to (for example, in a support request), to keep the Services secure and working, or when the law requires it.
If you're someone whose information was added to GigTools by one of our users and you have a request about it, please contact that user directly. You can also email us, and we'll help where we can.
Public pages and embeds
Act pages, public event pages and calendar embeds are designed to be public. Anything you publish there, such as bios, photos, demo reels and show dates, can be seen by anyone with the link, including search engines. You control what you publish, and you can unpublish it at any time.
Cookies and similar technologies
We use a small number of cookies and similar technologies:
- Essential: to keep you signed in, protect your account and remember basic settings. The App doesn't work without these.
- Security: Cloudflare Turnstile, on forms that need bot protection.
- Preferences: to remember small choices on the Website.
- Analytics: we use Vercel Web Analytics, which counts visits without cookies, and Google Analytics, which sets cookies, to see how many people visit and which pages they use. We turn off Google's advertising features. In the App, private links (such as update, signing and payment links) are reported without their codes, and organization websites and widgets embedded on other sites aren't tracked with Google Analytics. You can block Google Analytics with your browser settings or Google's opt-out add-on.
The Website loads fonts from Google Fonts, which means your browser sends your IP address to Google when the fonts load. The share buttons on blog posts are simple links. They don't load social media tracking scripts unless you click one.
You can control cookies through your browser settings. If you block essential cookies, you won't be able to sign in to the App.
How long we keep information
We keep your information for as long as your account is active and as needed to provide the Services. If you delete your account, we delete or de-identify your personal information within a reasonable period, normally within 30 days. Backups are overwritten on a rolling schedule. We keep some information longer only where we need to:
- comply with legal, tax or accounting requirements
- resolve disputes or enforce our agreements
- keep records of signed agreements
Security
We use reasonable technical and organizational measures to protect your information, including:
- encryption in transit (HTTPS) and at rest
- access controls in the database that keep each organization's data separate, so other users can't read it
- encryption of the keys for services you connect, such as Google
- hashed passwords
- bot protection
- limited internal access: staff look at an account only when its owner asks for help, to keep the Services secure and working, or when the law requires it
No system is perfectly secure, so please use a strong, unique password and tell us right away at support@gigtools.net (contact us) if you suspect unauthorized access to your account.
Your choices and rights
You can:
- Access and update most of your information directly in the App.
- Export your data, or ask us for a copy.
- Delete your account and data by contacting us.
- Disconnect Google or other integrations at any time.
- Unsubscribe from marketing emails using the link in any message.
- Unpublish public pages and embeds at any time.
To make a request, email support@gigtools.net (contact us) from the address on your account. We may need to verify your identity before acting on a request. We will not discriminate against you for exercising your privacy rights.
Additional information for certain regions
United States. Depending on where you live, state privacy laws (for example, in California, Colorado, Connecticut, Virginia and other states) may give you rights to:
- know what personal information we collect and how we use and share it
- access, correct and delete it
- get a portable copy of it
- opt out of its sale, targeted advertising or profiling
As explained above, we do not sell personal information or use it for targeted advertising. You may use an authorized agent to make a request on your behalf, and if we deny your request, you may appeal by replying to our response.
European Economic Area, United Kingdom and Switzerland. We process personal information on these legal bases:
- to perform our contract with you (providing the Services)
- our legitimate interests (securing and improving the Services, communicating with you about your account), where those interests are not overridden by your rights
- your consent (for example, connecting Google or receiving marketing emails), which you can withdraw at any time
- compliance with legal obligations
You have the right to access, correct, delete, restrict or object to processing of your information, and to data portability. You also have the right to complain to your local data protection authority. For information you add about other people, our user is the controller and GigTools acts as a processor.
Children
The Services are intended for professionals and are not directed to children. You must be at least 18 to create an account. We do not knowingly collect personal information from children under 16. If you believe a child has given us personal information, contact us and we will delete it.
Where information is processed
GigTools is operated from the United States, and our service providers may process information in the United States and other countries. Where required, we rely on appropriate safeguards, such as standard contractual clauses, for transfers of personal information from the EEA, UK or Switzerland.
Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the App before they take effect, and update the "Last updated" date above. Your continued use of the Services after changes take effect means you accept the updated policy.
